Temporary Supply Chain Admin Assistant

POSITION
Summary:
The Temporary Supply Chain Administrator Assistant (SCAA) contributes to the mission of Northwest Harvest by effectively providing support to the daily communication of flow, quality, and availability to inventory items, and plays a significant role on the Supply Chain team by performing a variety of administrative and clerical tasks at the Northwest Harvests Distribution Center in Yakima WA.
This position is responsible for providing the Sourcing and Procurement team with technical and general administrative support, as well as helping to ensure strategy alignment of all our programs and initiatives and putting into practice our Six Agreements and our PACI values.
The SCAA acts as a welcoming, problem-solving team member the Yakima location and is responsible for providing excellent customer service to internal and external stakeholders.
The successful incumbent in this role will engage in cutting hunger rates in half by 2028 through partnership with the Allocation Manager and the entire Supply Chain staff to best support and efficiently monitor inventory items, along with supporting the statewide Three Squares program to ensure accurate and timely distribution to schools in need while actively and collaboratively empowering the professional lives of NWH employees to be challenging and fulfilling.
Responsibilities:
Supply Chain Administration Process Supply Chain requisitions, purchase orders, and purchase invoices Monitor 3PL (Yakima School District) Inbound and Outbound Inventory; prepare sales orders for distribution; set up new items and variants in Microsoft Dynamics Navision (NAV) to support inventory Create and prepare purchase invoices for Yakima, Spokane and Auburn locations Maintain data integrity by effectively monitoring the internal supply chain database for auditing purposes, and provide reports as needed Ensure data accuracy by regularly checking data and correct errors in a timely manner.
Schedule appointments and maintain calendars Field and redirect communications to Supply Chain team for follow-up Update warehouse management system to support food supply chain Prepare communications such as memos, emails, receipts and audits, and reports Work with the Distribution Center staff to monitor flow, quality and availability of inventory items, for 3PL customers.
Assist in investigating inventory and distribution issues and discrepancies Determine what items should be distributed and in what quantity based on a program's size, needs, capacity, and transportation mode Respond to requests by 3PL customers and Distribution Center closures by maintaining, rescheduling, and updating the food bank calendar Build relationships with 3PL customers, through coordinating NWH food distribution to customers and vendors within Yakima County Customer Service Provide excellent customer service through regular email, and phone communications to external stakeholders regarding orders, helping to solve issues and/or providing information Maintain a positive customer experience by providing friendly, helpful, and respectful assistance Document customer interactions, inquires, complaints, in data base for future reference and analysis Provides assistance in the greeting and helping of visitors, donors and volunteers at the Yakima location Performs other duties as assigned by the Director of Sourcing & Procurement EQUITY AND INCLUSION Demonstrate the initiative to learn and enhance skills that promote anti-racism, cultural competency and an understanding of oppression and its impact.

Listen to understand in daily communication, ask questions, receive and provide information regarding inventory availability, problem solve issues, and scheduling.

Knowledge of:

Associate of Arts or Sciences degree in food distribution, supply chain management, logistics or and equal combination of education and relevant work experience with a personal orientation as a lifelong learner.
Experience:
Minimum two (2)
years of experience in customer service, Administration, data entry and food distribution.
Qualifications:
Non- Profit experience is desired but not required Ability to speak a second language is desired but not required
